Time Entry Methods Explained

Kwilio supports multiple methods for recording time. Understanding how each method works and when to use them ensures accurate time tracking for your business.

The Three Methods
Scheduled Time (Default)

How it works: When an appointment is created with a start and end time, the system automatically uses those times for time tracking.

When to use: Best for appointments where the scheduled times accurately reflect actual work time. No action required from employees.

Priority: Lowest - can be overridden by mobile or manual entry.

Mobile Clock In/Out

How it works: Employees use the iOS mobile app to clock in when they start and clock out when they finish. Times are recorded in real-time.

When to use: Ideal for employees working at client locations or when actual work times differ from scheduled times.

Priority: Medium - overrides scheduled time but can be overridden by manual entry.

Manual Entry

How it works: Administrators or managers manually create or edit time entries through the web interface.

When to use: For corrections, missed clock-ins, retroactive entries, or when other methods aren't available.

Priority: Highest - takes precedence over all other methods.

Priority System

When multiple time entry methods exist for the same appointment, the system uses this priority order:

  1. Manual Entry - Highest priority, always used if present
  2. Mobile Clock In/Out - Used if manual entry doesn't exist
  3. Scheduled Time - Used as default if no other method is present
Which Method to Use

Choose based on your needs:

  • For regular appointments: Scheduled time is usually sufficient
  • For variable work times: Mobile clock in/out provides accuracy
  • For corrections or special cases: Manual entry ensures precision
