Time Entry Approval Process

Reviewing and approving time entries ensures accuracy before processing payroll or billing. This process helps catch errors, verify hours, and maintain proper records.

Accessing Time Entries for Review

Navigate to "Scheduling" → "Time Entries" to view all time entries. You can filter by:

  • Date range
  • Employee
  • Approval status (pending, approved, denied)
  • Time entry method
Reviewing Time Entries

When reviewing, check for:

  • Accuracy: Verify clock in/out times are correct
  • Completeness: Ensure both clock in and clock out are recorded
  • Reasonableness: Check that hours worked make sense (not too long, not negative, etc.)
  • Conflicts: Look for overlapping time entries for the same employee
  • Notes: Review any notes explaining special circumstances
Approving Time Entries
Single Entry Approval

To approve a single time entry:

  1. Open the time entry
  2. Review the details
  3. Click "Approve"
  4. Optionally add an approval note
Bulk Approval

For multiple entries:

  1. Select the time entries you want to approve
  2. Use the bulk actions menu
  3. Select "Approve Selected"
  4. Confirm the action
Denying or Requesting Changes

If a time entry needs correction:

  • You can deny the entry with a reason
  • Add notes requesting the employee to correct it
  • Manually edit the entry if you have the correct information
  • The employee will be notified of any issues
