Creating Appointments

Appointments are the core of your scheduling system in Kwilio. They connect clients with employees for specific services at scheduled times.

Step-by-Step Guide
1. Navigate to the Calendar

Click on "Calendar" in the main navigation menu to access your scheduling calendar view.

2. Select Date and Time

Click on an empty time slot in the calendar where you want to schedule the appointment. This will open the appointment creation form.

3. Choose a Client

Select the client for this appointment from the dropdown. If the client doesn't exist yet, you can create a new client on the spot.

4. Assign an Employee

Select which employee will handle this appointment. The system will show you the employee's availability to help you make the right choice.

5. Select a Service (Optional)

If you've set up services, you can assign one to this appointment. This helps with pricing and time tracking.

6. Add Details

Enter a title for the appointment, add any notes, and confirm the duration. You can also set whether this appointment repeats.

7. Save the Appointment

Click "Save" to create the appointment. It will appear on the calendar and can be viewed by both you and the assigned employee.

Managing Appointments

Once created, you can:

  • Edit appointment details by clicking on the appointment
  • Change the status (scheduled, confirmed, completed, cancelled)
  • Add or update notes
  • Reschedule to a different time
  • Cancel if needed
Recurring Appointments

For appointments that happen regularly, use the recurring appointment feature. You can set appointments to repeat daily, weekly, monthly, or yearly, and specify when the recurrence should end.
