Effective schedule management ensures your team is properly allocated and your business runs smoothly. Kwilio provides powerful tools to create, manage, and optimize employee schedules.

Creating Employee Schedules
Method 1: Direct Schedule Creation

Go to the Calendar view and click on an available time slot. Instead of creating an appointment, you can create a general schedule block for an employee. This is useful for setting up regular work shifts.

Method 2: From the Employees Page

Navigate to "Employees" and select an employee. You can view their existing schedules and create new ones directly from their profile.

Setting Employee Availability

Employees can set their own availability through "My Availability" in their menu. This helps managers know when employees are available to work. As an administrator, you can:

  • View all employee availability
  • Override availability when necessary
  • Set default availability patterns

When creating schedules, the system will highlight conflicts if you try to schedule outside of an employee's availability.

Managing Time Off Requests

Employees can request time off directly from the system. To manage these requests:

  • Navigate to "Time Off" in the Scheduling menu
  • Review pending requests
  • Approve or deny requests with optional comments
  • View all approved time off on the calendar

Approved time off will automatically block those time slots from being scheduled.

Recurring Schedules

For employees with consistent schedules, use recurring schedules. You can set:

  • Weekly patterns (e.g., Monday-Friday 9am-5pm)
  • Bi-weekly schedules
  • Monthly patterns
  • End dates for recurring schedules

Recurring schedules save time and ensure consistency in your workforce planning.

  • Review schedules weekly to ensure proper coverage
  • Communicate schedule changes promptly to employees
  • Use availability settings to prevent over-scheduling
  • Keep track of time off to avoid conflicts
  • Regularly review and update recurring schedules
